Access the Envelopes Feature
Steps
- Open a blank document in Microsoft Word.
- Navigate to the Mailings tab in the ribbon.
- In the Create group, click on Envelopes. This opens the Envelopes and Labels dialog box.
Set Up the Return Address
Steps
- In the Envelopes and Labels dialog box, go to the Envelopes tab.
- Enter your return address in the designated box. This address will appear in the top left corner of the envelope.
- To automatically use this return address for future envelopes:
- Click Cancel to exit the dialog box.
- Go to File > Options > Advanced.
- Scroll down to the General section.
- Enter your return address in the Mailing Address box.
- Click OK to save your settings.
Enter the Delivery Address
Steps
- In the Envelopes and Labels dialog box, type the delivery address in the Delivery address box.
- If you have addresses saved in an address book linked to Word, click the Address Book icon to select a delivery address.
Adjust Envelope and Printing Options
Steps
- Click on Options in the Envelopes and Labels dialog box.
- Under the Envelope Options tab:
- Select the correct envelope size from the dropdown menu.
- If desired, adjust the font, size, and position of the delivery and return addresses.
- Switch to the Printing Options tab:
- Review the Feed Method to determine how to insert envelopes into your printer.
- Confirm the correct orientation and method for feeding the envelopes.
- Click OK to save your settings.
Print a Single Envelope
Steps
- Load your envelope(s) into the printer based on the instructions from the Printing Options tab.
- In the Envelopes and Labels dialog box:
- To print immediately, click Print.
- To save the envelope for future use, click Add to Document. This will insert the envelope into your Word document.
- If you added the envelope to the document, save the document as you usually would.
Create Multiple Envelopes Manually
Steps
If you need to print multiple envelopes with different addresses:
- Ensure your cursor is positioned at the top of the first envelope in the document.
- Go to the Layout tab.
- Click on Breaks and select Next Page to insert a section break. This will create a new page for the next envelope.
- Click on the new blank envelope at the top of the page.
- Navigate back to the Mailings tab and click Envelopes.
- Enter the new delivery address.
- Click Add to Document to add the envelope to the document.
- Repeat steps 1-7 for each additional envelope.
Save and Print Multiple Envelopes
Steps
- After adding all your envelopes to the document, save the document by going to File > Save As.
- To print all the envelopes, load them into your printer as directed by the Printing Options tab and select Print.
