How to Insert Hyperlinks in Visio 2010
There are several ways how to insert hyperlinks into Microsoft Visio 2010. You may need to create a link to a local file (documents, spreadsheet, etc), a particular section of a document, or another page within Visio. Hyperlinks are useful when you’re diagrams get very large that they start to split over to multiple pages or when they get complicated that linking to other files becomes necessary.
Creating a Hyperlink
There are three options in which you can create a hyperlink:
1. One way is by right-clicking on the shape that you want to put a hyperlink on. Select 👉 Hyperlink on the context menu. This brings up the Hyperlink dialog.
2. Another quick way to bring up the Hyperlink dialog is by using the keyboard shortcut Ctrl+K.
3. The third option is, you can use the Hyperlink button under the Insert tab of the Ribbon to bring up the same dialog.
Linking to a local file
1. Select the item that you would like to put a hyperlink. Right-click and choose Hyperlink.
2. On the Hyperlinks dialog, click on Browse found at the right portion along Address.
3. Choose Local File. Locate the file that you need from the folders in your computer. (Note: By default, Visio looks for Visio style files when it tries to link to a local file. You can change the file types being displayed by choosing All files or perhaps Office files.)
4. Once you have found the file, select it and click on Open.
5. The file will appear on the list of linked documents on the Hyperlinks dialog. Click on OK.
6. Now that the link is in place, hover the cursor over the link, hold CTRL and left click to open. This will direct you to the linked file. (Note: Another way to open the link is by right-clicking on the link and selecting the link name found right above Edit Hyperlinks on the context menu.)
Changing the link tip/description
When you place your cursor over a link, a small tip appears providing you with a description of that particular link. You can actually edit the tip by right-clicking on the link and then choosing Edit Hyperlinks. On the Hyperlinks dialog, type in the appropriate information on the Description box. Hit the OK button once finished.
Inserting a bookmark and linking to a particular section within a document
1. Open the relevant Word document and to go a particular point in the document where you would want to place the bookmark.
2. Go to Insert tab, click on Bookmark.
3. Type in a Bookmark Name and click on Add. Close the document.
4. Go back to your diagram in Visio 2010, choose an item/object to put the hyperlink, and bring up the Hyperlinks dialog.
5. Locate the appropriate file by clicking Browse along the Address field. Change the Description if necessary.
6. In the Sub-address, type in the Bookmark Name. Click on OK once done.
7. Now when you follow the link, it will take you to the bookmarked section of the Word document.
Linking to another page within Visio
1. Select an item/object to place a hyperlink, right-click, and select Hyperlinks.
2. In the Hyperlinks dialog, leave the Address field blank. Now, click Browse along the Sub-address field; a small hyperlink dialog appears.
3. On the Page option, drop down and select the page number to which you want the link to direct to. You can also change the Zoom option according to your preference. Click OK.
