Preparing Payroll Tax Forms in Quickbooks Pro 2012
Generally, an employer who pays employee wages must file Form 941; Employer’s Quarterly Federal Tax Return with the Internal Revenue Service for each calendar quarter during the year and must be filed and/or postmarked on the last day of the month following the end of the quarter. For i.e., first quarter ends on March 31st; the return must be file by April 30th to avoid penalties and interest charges. The Federal Form 941 reports all wages paid to employees, federal income tax withholding and the employer and employee portions of the Social Security and Medicare tax. Quickbooks will automatically export your payroll information to the payroll tax form.
You must have an ACTIVE PAYROLL SERVICE SUBSCRIPTION to create payroll tax forms in Quickbooks.
Creating Payroll Tax Forms in QuickBooks
To begin, choose >Process Payroll Forms from the Home Screen
Or
From the File Menu > Employees >Payroll Tax Forms & W-2’s > Process Payroll Form
Next, select your form type. You have two options: federal or state. State forms or option but have to be added to you payroll subscription in order to prepare those type forms and can include additional costs to your payroll subscription. Please check your payroll service subscription for additional services and fees.
Then select your payroll form type, click ok. Notice that there are several federal forms to choose from. All these forms can be processed and submitted electronically through Quickbooks.
Once the form opens, follow the onscreen instructions to begin preparing your tax form. Be sure to answer all the questions and then choose the Check for Errors Button to review the form to insure that all information is entered correctly.
Once you have confirmed that your form is correct, choose the Print for Your Records button and print copies for your files and if manually submitting the forms, print the copies to be submitted to the Internal Revenue Service via mail, OR
You may choose the Submit Button to file your form electronically. If you choose to file your form electronically, be sure that you are enrolled to electronically file your forms with the Internal Revenue Service. If you are not already enrolled in this service, you can complete the enrollment process with the Internal Revenue Service through the Quickbooks Payroll Center.
From the Home Screen, click on the Payroll Center

Follow the onscreen instructions in Payroll Set Up to complete the process.
You must have an active Enhanced Payroll Subscription to proceed with this process.
To file additional payroll tax forms, repeat ALL the above steps in the same order.
Once you have printed and submitted your forms, be sure to save a copy of the form as a PDF file.
